110.37 Attendance Entry

PURPOSE:

To clarify the responsibility of time entry in CrewSense or the current attendance/payroll software and ensure that personnel’s hours worked are documented correctly.

PROCEDURE:

  • The Division Chief/Training will set up all new firefighters in CrewSense during the first day of orientation.
  • It is the responsibility of the Division Chief to enter the daily attendance of all new firefighters during orientation into CrewSense.
  • Once a firefighter is assigned to a shift, it is that firefighter’s Battalion Chief’s responsibility to ensure that everyone on his/her shift is entered in CrewSense accurately.
  • Attendance will be reviewed each shift by the on duty Battalion Chief and OIC from each station to ensure accuracy. It will be the responsibility of the on duty Battalion Chief to ensure CrewSense is accurate.
  • Any hold over, overtime, or any other attendance times will be emailed to the OIC, on duty Battalion Chief and mfd@itsmymaitland.com (Fire Administration) by 8pm that day. If outside of work, a text message (in lieu of an email), will be required by 8pm that day.
  • If a Battalion Chief is out for an extending period and a Ride Up BC is assigned to that shift, their responsibility will be the same as the on duty Battalion Chief as described above.

TRAINING:

  • When training has been approved by the Division Chief, the Division Chief or his/her designee, will notify the firefighter and all three Battalion Chiefs of the approved dates in order to adjust attendance in CrewSense.

SPECIAL EVENTS:

  • Special detail paid (Permitted Events): The Fire Marshal will review, approve, and determine the number of personnel needed (if any) for an event. The Deputy Chief shall be consulted with any questions/concerns. Once a determination that personnel is needed for an event, the Fire Marshal will request the on-duty BC to fill the Special Detail via CrewSense.
  • Overtime paid (PR Events): The Fire Chief will review, approve, and determine the number of personnel needed for an event. Once a determination that personnel is needed for an event, the Fire Chief will request the on-duty BC to fill the OT via CrewSense.
